Office & Business Support resume example

For: Candidates for office, administration and business support roles

Three keys to a Office & Business Support resume

01

Scale, not a list of duties

'Facilities, purchasing, supplies' could be anyone's resume. Adding scale, such as company size and monthly volume, makes the experience concrete.

02

What you changed is the result

Support work may seem to lack results, but shorter processing, lower costs and fewer mistakes are all results. Show them with before-and-after numbers.

03

Show how well you use the tools

Excel, groupware and e-approval skills decide efficiency. Examples of what you built with functions or automation show your level naturally.

Writing the summary

Describe the range of support work you have done and how you work (accuracy, improvement and so on) in one or two sentences. Add one headline result like cost savings or time saved.

I have handled facilities, purchasing and contract management at IT and retail companies for four years. I automate repetitive work with tools and organize scattered records so the company runs faster and more accurately.

Try rewriting it like this

BeforePurchased and managed office supplies.

AfterHandled supply purchasing for an office of 120, compared vendors and renewed regular items, cutting annual purchasing costs by about 15%.

Scale, method and savings turn routine work into a result.

BeforeWrote and managed documents.

AfterOrganized contracts and letters scattered across teams under shared drive rules with a searchable index, making documents much faster to find.

Write what you changed, how, and what it improved.

BeforeProficient in Excel.

AfterAutomated corporate card reconciliation with Excel functions and pivot tables, cutting month-end settlement from two days to half a day.

Show what you made with the tool instead of claiming proficiency.

Organizing skills

Group skills into documents and data (Excel, PowerPoint, Word) and business systems (groupware, e-approval, ERP). For Excel, name what you can do, such as functions, pivot tables or macros.

What changes with experience

If this is your first application

As a new graduate, find times you managed schedules, budgets or documents in part-time work, student government or clubs. Add office certifications with real Excel examples.

If you have more experience

Later, lead with company-wide projects such as rewriting procedures, cutting costs, moving offices or rolling out systems. Coordinating teams and vendors is a strength too.

Common mistakes

Frequently asked questions

How do I put numbers on support work?

Compare volume, time taken, cost and mistakes before and after. If you lack exact numbers, ranges like 'about half' work.

Do I list every task I did?

Lead with the tasks relevant to the posting and summarize the rest in one line.

Which certifications help?

Office software certifications are the baseline. If accounting is part of the role, an accounting certification helps too.
